What a support letter has to say, and who should sign it

THE SHORT ANSWER

Hypothetical example: an economist from Roxton Pond is engaged by a hardwood lumber group in the United States, and the only support letter offered is written by an outside recruiter, describes an open-ended permanent placement, and never names either the entry relied on or what the economist will actually produce. Economist is a listed profession; a letter that identifies no deliverable, no period and no responsible signatory establishes nothing about it. The letter has to describe the professional deliverable accurately, name the entry relied on, identify the qualification, and be signed by somebody who can answer for it.

Describe the deliverable, not the department

A support letter earns its place by saying what will be produced. Demand and price analysis, cost-of-production models, market studies with a stated methodology and dated data sets are economic analysis; preparing quotations for named customers is sales support. Where the role genuinely contains both, put them in order of the time each will take, and let that ordering tell the truth about the engagement. The letter should also state the period, the terms on which the person is engaged, and who directs the work if any of it happens at a customer’s premises. Vague phrasing is not neutral: an officer reading an ambiguous description has to resolve the ambiguity, and will do so against the applicant.

Match the credential to the entry, item by item

The letter is one half of the case and the qualification is the other. Copy the wording of the entry being relied on, then hold the degree, diploma or licence against it and confirm each element is met. Where the entry accepts documented experience in place of a degree, the experience has to be evidenced rather than asserted, with dated employment records. Where the qualification came from an institution outside Canada, Mexico or the United States, obtain a reliable foreign-credential evaluation, and start it early because it is usually the slowest item in the file. An evaluation and a translation answer different questions and neither substitutes for the other.

Signatures, translations and the things that contradict

A letter signed by somebody who cannot answer questions about the work is weaker than a short letter signed by the manager who will supervise it. Name the signatory, give a role and a way to reach them, and date the letter. Documents in French going to USCIS need a full English translation with the translator’s certification of accuracy, completeness and competence, rendering the original faithfully rather than improving it. Finally, read the letter beside the resume and the corporate website and look for contradictions. A discrepancy the applicant has noticed can be explained; one an officer notices first rarely can.
